Workflow Administrator

We are looking for a self-motivated team player to join our small friendly admin team for 30 hours a week. (Hours to be worked Monday to Friday)

The successful candidate must be accurate, methodical, be able to communicate well and have strong Microsoft Word/Excel skills. Experience in General Practice with System One software would be preferred but not essential as training will be given.

Main Purpose of Job:

To ensure that all incoming and internal patient correspondence is stored on the patients medical record and relevant information is coded.

Process the incoming e-Consultations, and switching off at the appropriate time to ensure capacity is not breeched.

To be able to locate documents as needed by the clinical and non-clinical staff

To carry out administrative related tasks as delegated by the doctors and non-clinical staff.

Any other duties which fall within the scope and level off the post and the skill-set of the job holder.

Postal Duties

  • Sort all internal and external post and place appropriate correspondence in GPs/Nurses/Health Visitors/District Nurses/Practice Managers personal in-trays.
  • Open all patient related mail.

Main Scanning Duties

  • Scan patient related documents onto their medical record using read codes as agreed by the clinical team.
  • Process incoming electronic patient related documents onto their medical record using read codes as agreed by the clinical team.
  • Add any additional information about the source of the document.
  • Forward the document if required to the most appropriate to receive the information. If no forwarding is required to file into patients records with any actions you have taken.
  • Ensure incoming letters are scanned onto the patient record within a 48/72 hour timescale.
  • Scan all internal paper documents on to the relevant patients record and then store the documents in line with surgery procedures.
  • Forward NHS Letters received electronically to appropriate clinician.
  • Enter all blood pressures, height, weight, alcohol and smoking status onto patients records from correspondence. Tasking the relevant team if BP is not in the set range.

General Responsibilities for all Staff

The post holder is expected to;

  • adhere to practice policies and procedures and relevant legislation including the requirements of any professional bodies.
  • attend mandatory training as identified by the practice.
  • highlight potential development areas.
